Join the Forces with New Staff!

Is your company growing and adding staff?  Maybe you're in the process of hiring summer help.  Now is the time to update, or create your process and procedure manual for the position.  And who better to do that for your position than You!

When I came to work for Boomer Consulting as an Administrative Assistant, Sandra challenged me to document all of my processes and procedures in a format that if I were not in the office, and someone else needed to step-in and perform my duties, they would have a road map to follow.  That was a challenge - but has proven to be very helpful.

Of course, over time, many things have changed.  Here are a few pointers.

  • Use a table of content with hyperlinks.  Create one document as a table of contents listing all your documents and processes.  Then add a hyperlink on each process to the document that details that process.  You then have one central location listing all the processes and can quickly access each document through the hyperlink.
  • For documents covering secured information, you may add the requirement of a password to open or modify or set limited permission to view or change.
  • Create a shortcut of the table of contents document to your desktop for quick access to reference or make changes to any of the processes.

As you add staff or maybe a summer intern, use your manual for training purposes.  Collaborate with the new staff member to update and work through the process of the change in your duties and functions.  Invite new ideas and processes.
